Your data belongs to you. We do not store client information or estimates on our servers. Every estimate is generated locally inside your browser, and drafts are saved only to your device's local storage. When you reset the form, that data is cleared immediately. No accounts, no tracking, and no third-party access.
Free Estimate Generator is an independent project, built and maintained by an individual web developer. It is not a company, not a venture-funded startup, and not a team. It started as a side tool to help a few friends in the trades stop hand-formatting estimates in Word, and grew into a public site after enough people asked for the link.
There is no sales team, no onboarding funnel, and no "free trial that becomes a subscription." The site is supported by light, clearly-labeled advertising so that the tool itself can stay free. If you ever have a question, a correction, or a feature request, the contact email goes directly to the person who maintains the site.
Most "free" estimate tools online are stripped-down lead magnets for accounting software — they ask you to create an account, verify an email, sit through onboarding, and then push you into a paid plan within a week. That's overkill for a painter who just needs to send a clean PDF to a homeowner before dinner.
We wanted something different: a single page where you open the site, fill in the fields, see a live preview, and download a polished estimate. No friction, no funnel, no learning curve.
The tool is designed for US-based independent professionals who bill clients directly:
You fill in three blocks of information: your business details, the client's details, and a list of line items with quantity and unit price. The tool calculates the subtotal, applies any tax percentage or discount you enter, and renders a live preview as you type. When you're satisfied, you can print the document or download it as a US Letter / A4 PDF.
A draft of your work is saved automatically in your browser so you don't lose your progress if you refresh or close the tab. There is no account, no server-side database, and no syncing — your in-progress estimate only exists on the device you're using.
Everything you type into the estimate form stays in your browser. We do not store estimates on our servers, we do not email them anywhere, and we do not share your business or client details with third parties. Drafts are kept in your browser's local storage and cleared when you reset the form.
Because the tool runs client-side, we'd still recommend treating it like any other web form: avoid pasting sensitive identifiers such as full credit card numbers or Social Security numbers — estimates don't need them, and an estimate document is not the right place to record them. Our Privacy Policy explains exactly what is and isn't collected.
The sample estimates and guidance throughout the site are built from publicly documented patterns in service-business invoicing — the kinds of line-item structures painters, cleaners, handymen, landscapers, and freelancers use in everyday client work, drawn from trade-association guidance, contractor forums, and direct conversations with working professionals who use the tool.
Prices in the examples are illustrative and rounded to make the structure easy to follow. They are not a quote, a market rate, or a pricing recommendation for any specific city or job — your own labor rate, local material costs, and competitive market should drive your actual numbers. The goal of every example is to show the structure of a good estimate so you can plug in your own real figures with confidence.
